The mess
Each account accumulates guidelines, approvals and lessons that only the person running it knows. When that person goes on vacation, the stand-in starts by asking what has already been asked three times. And the proposal for the new prospect is written on a blank page, even though the agency won two similar pitches.

Where the mess lives
In an agency, knowledge belongs to the account, not to the agency. The account manager knows that this client will not accept the word “revolutionary”, that they approve in two rounds, and that the brand manager hates the competitor’s blue. None of that is written anywhere. It is in the experience of whoever has run the account for the last eighteen months.
When the team rotates, and in this business it rotates, the agency goes back to round zero with a client who has been through this before and does not understand why they are being asked again.
The other loss is commercial. The agency won a retail pitch last year with a proposal structure that worked. This year a similar brief arrives and someone starts from an empty template, because finding that proposal means remembering which folder it ended up in.
What changes
Each account is a branch of the tree with its own main note, and that note is the thing that was missing: who decides, how they approve, what is allowed and what is not, the tone, the banned words, what was tried and did not work. It is the file a new account manager reads on day one instead of discovering over three months.
On top of that sits the material: brand books, assets, reports, contracts, transcribed meeting recordings. All indexed, with no cost to index.
That account’s agent reads the main note, its memory and its open tasks before answering anything. That is why what it drafts sounds like that brand and not like generic agency copy. And what it learns it writes back into the vault, dated and sourced, rather than into a vendor’s opaque memory.
Permissions here are a commercial requirement, not a technical detail: two accounts in the same sector cannot see each other. Each branch is a compartment, and anyone not assigned does not get in.
A concrete example
A request for proposal comes in from a pharmacy chain. You ask the commercial area’s agent: find the retail proposals we won, tell me what structure we used and what objections we got, and draft the outline for the new proposal.
The agent searches the vault, finds the two winning proposals and the minutes of the meeting where the client raised objections, and writes the outline as a new note in the prospect’s folder, linking each block to the document it came from. You review, correct, and the correction is there for the next one.
What we will not promise you
Ofivia does not generate images or video, and it is not going to. That is a scope decision: knowledge and text live here, visual production stays in the tools where it already is.
It is not a project manager with a timeline and it is not an asset approval tool with a formal workflow. There are tasks inside each account’s main note, and they do what they do.
And there is no simultaneous editing of the same note. If two people write over the same file at the same time, the last save wins. In practice everyone works on their own thing and the area’s conversation coordinates the rest, but it is better known in advance than after.
