The mess
The firm's asset is eight years of deliverables, and they are split between the partner's Drive, two consultants' laptops and a shared folder nobody ever cleaned. When a request arrives that resembles something already done, search by file name does not find it, so it gets written again and the same hours get billed twice.

Where the mess lives
A consultancy sells hours of judgment and stores the result in documents. The problem is that the document gets filed and the judgment does not. Eight years later the firm has two hundred excellent deliverables and no practical way of reaching the one that helps today.
What is lost is not the file, it is the route to the file. Nobody remembers that the 2023 organizational review for the municipality had exactly the risk matrix the new client is asking for, because the file is called “Final report MUNI rev PARTNER.docx”.
So it gets rebuilt. And the firm pays twice for the same intellectual work, once when it invented it and once when it lost it.
What changes
The deliverables go in whole: proposals, reports, matrices, decks, meeting minutes, the emails worth keeping. They are indexed at no cost and become searchable by what they say inside. A PDF from 2019 is as reachable as the document written this morning.
On top of that, the firm’s methodology stops being folklore. Every project starts with a main note, and that is where how this firm works gets written down: proposal structure, scoping criteria, what is never promised, the fee template. The agent reads it before writing anything, so what it produces resembles what the firm already considers good.
Permissions matter more here than they look. Each client project is a branch of the tree with its own team. A consultant who leaves the project leaves the access. One client’s material does not cross into the next one’s through a careless shared folder.
A concrete example
A request for proposal lands: designing the organizational structure of an eighty-person family business in food production.
You ask the agent: find the three closest pieces of work we have done, tell me what scope we offered and at what price, and draft the proposal using our structure.
The agent searches the vault, finds the three, reads the scope and fee sections of each one, reads the main note holding the firm’s standard structure, and writes the draft into the new project’s folder, citing which proposal each block came from.
A turn that size costs on the order of three hundred to nine hundred credits. The meter records it by day, by process and in dollars, so you can know what the proposal cost you in AI before you send it.
What we will not promise you
This is not a project ERP and it does not track billable hours or receivables. It holds the knowledge, which is the part no ERP keeps.
The agent will not price a project for you. It will show you what you charged for similar work, with the document in hand. The commercial decision stays yours.
AI usage is measured and displayed, but today it does not cut off on its own when it reaches the budget. If a month runs over, you will see it in the meter and we will tell you; we are not going to claim there is an automatic ceiling that is not switched on yet.
